Client Services Associate – Must be Bilingual (Spanish/English). Customer service or front office experience is a plus, multi-tasker with a teamwork mentality. This role supports all other departments and the ability to manage many requests of varying complexity is essential.

Schedule: Monday – Friday, 9:00 AM – 5:00 PM
Base Pay Range: $14.00- $16.00 per hour, depending on experience and performance, with opportunities for increases.

Responsibilities:
- Greet clients and visitors coming into the office and make them feel welcome.
- Back up team members of different departments with administrative requests.
- Open and close the office to prepare for incoming staff and visitors.Â
- Maintain the general appearance of the office and prepare the conference room for incoming appointments.
- Inform COO, building manager/Owner of any items that need repair or maintenance, safety hazards, or other concerns regarding the office.
- Manage general supply inventory, organize, and order office supplies.
- Order/pick up food for team meetings, celebrations, and special events.Â
- Assist with setting up event space, decorations and firm SWAG, and manage attendee RSVP list.
- Review incoming mail, scan and upload to the Monday.com database in the appropriate location, inform the team of the incoming documents.Â
- Manage outbound mail, make labels, and send tracking information.
- Reroute callers with qualifying immigration issues to an available Client Engagement Specialist and provide general information collected from the initial conversation.
- Review virtual answering service emails and return calls to PNCs.
- Review missed calls in Dialpad and return calls or send messages to the appropriate team member.
- Provide referrals based on the area of need and manage the current referral list.
- General administrative assistance for other team members when requested.
Client Services and Legal Support:
- Receive dropped off client documents, scan/copy, and deliver to the appropriate team member.
- Collect dropped off payments in cash or check, and process credit card payments.
- Coordinate with the legal support team to inform clients when important documents arrive by mail or are dropped off to accurately log or add to client folders.
- Assist Legal Assistant with file backs and managing of physical client files.Â
- Scheduling client appointments when the legal support staff is absent or unavailable.Â
- Assist the Client Services Manager with overflow tasks, as needed requests, and special projects.
